Hosting case data from behind the firewall

 In this case study, learn how we helped a US law firm maintain exceptional security for their end client’s sensitive case data, despite all three parties being based in different continents.

The Challenge

A mid-tier law firm and long-term client of ours at Altlaw was in possession of an end client data set which was considered commercially sensitive. Despite being primarily based in the US, the law firm had offices in Central London.
 
The law firm’s client had a requirement to keep the case data in question under tight control – specifically what they wanted was to have their case data hosted in a secure colocation or “carrier hotel”, but they were based outside of the EU, and did not have any suitable premises of their own in the UK.

 

The Solution

The decision was made to implement an on-premise system at the law firm’s UK offices – we helped by providing servers and storage devices to be installed at their headquarters in London.

Working in conjunction with the IT team, Altlaw undertook a detailed survey of their existing infrastructure, before purchasing equipment that would seamlessly integrate with their existing hardware.  

Altlaw then installed a processing and review system behind the law firm’s firewall and created a closed network for the review to be hosted on. This meant that there was no way of accessing the system without physically being present at their Central London offices.
 
With the data security infrastructure established, an Altlaw project manager remained on site while a total of over 6 million documents were loaded into the system and submitted for filtering – a process which lasted approximately three weeks.
 
Once the data was ready for review, two separate teams of investigators were given training and set to their task.
 
The two review teams were kept physically apart and the review tool that they used ensured digital separation of their workflows and product. A total of 10 reviewers and 5 experts were committed to working on the case, for a project that lasted approximately 12 months.
 
Altlaw maintained a daily on-site presence until the teams were sufficiently proficient using the technology and then visited the site on a regular scheduled basis to ensure the smooth running of the project.
 
Following the project’s conclusion, the hardware used to store the data was then packaged up and sent overseas to the end client for long-term storage, granting them the option of reactivating the project at a later date, should they ever wish to do so.
